Send and receive folders including documents to the DOF using our secure DOF DropBox. The DOF DropBox is a document exchange area that allows departments to send folders with documents to the DOF and for the DOF to send documents to departments. All required forms and supporting documents should be submitted to the DOF DropBox. Note that this is not intended as an area in which to store documents; ideally, it should be empty every morning. Access to the DOFdropbox is set up such that you can only see the content of your own folders. Using the DropBox Map to the Shared Drive If you need assistance, please ask your SCAD/DCS. Mac: smb://notman.princeton.edu/DOFdropbox/ Instructions Add Documents to Your Department Folder Create a department folder on your desktop. Naming convention: XXX-Actions (XXX is your department's three letter abbreviation) Example: ANT-Actions Create a subfolder for each person/action. Within the department folder, XXX-Actions, create a subfolder for each person/action. Name it as follows: LastnameFirstname-SpecificAction Specific Action examples: New Appointment, Reappointment, Promotion, Termination, etc. Example subfolder names: SmithJohn-Promotion, SmithJohn-NewAppointment Place signed and scanned forms and all required supporting documents in corresponding subfolders. Submit all documents as PDF files (or scanned as PDF for paper originals). The exception is forms that should be scanned as image files (JPEG, TIFF) after they are downloaded from the DOF website, filled out, and signed by the Department Chair. The Search Report Form should be signed and scanned as an image file. All supporting documents for search report form can be combined into a single pdf file. Every form and required supporting document must be submitted as a separate file with a name reflecting the corresponding checklist item. Scanning Tips Make sure documents are not sideways when you scan them. If they are printed in landscape format, then they need to be scanned in landscape format. To minimize scanning, request documents electronically when possible and convert to PDF. Submit Your Documents to the DOF Drop the XXX-Actions folder in the DOF DropBox shared drive. For confidentiality reasons and to ensure proper submission please do not place any document outside of your XXX-Actions folder in the DOF DropBox. See example submission with screen shots Confirm that the DOF has received your documents. You will know that your documents have been received when we remove your XXX-Actions folder from the DOFdropbox. We will remove them daily. You may submit them as often as you need. Submit Additional /Missing Documents Submit another set of actions when we have not yet removed your previously submitted XXX-Actions folder. Use the same rules, but name your new folder XXX-Actions-1, 2, etc. Resubmit missing documents. Use the same folder structure, but submit only the missing documents. Include emplid in the filename so missing documents can be easily added to the previously submitted package.
